TIME TRACKING & BILLING FOR SERVICE BUSINESSES
Every hour, tallied. Every hour, billed.
FlatBill turns the time your team works into invoices your clients pay — tracking, budgets, expenses, and billing in one system you can set up in an afternoon.

The work got done. Did all of it get billed?
Hours logged three days late. A budget that blew past its number two weeks before anyone noticed. Expenses in a glovebox. An invoice built from memory on the 31st. Every one of those is margin, and none of them show up as a line item.
FROM AN HOUR WORKED TO MONEY IN THE BANK
-
Tracked — someone logs an hour against a project, from any device.
-
Approved — a manager signs off on the week. The entry locks.
-
Invoiced — FlatBill drafts the invoice from everything approved and unbilled.
-
Paid — the payment lands against the invoice, and what is still outstanding stops being a guess.
Four steps. One system. No spreadsheet in the middle.
01 · TIME TRACKING
Time tracking your team won't quietly stop doing
Every billing problem starts as a tracking problem. FlatBill makes logging an hour take three seconds, from whatever your team happens to be working on.
Timers everywhere
Start a timer at your desk and stop it from your phone. FlatBill runs in any browser, so there is nothing to install, nothing to update, and one set of numbers however your team gets to it.
Approvals before anything gets billed
Managers review and approve the week; approved time locks, so what you invoice is what someone signed off on.
Nudges, not nagging
FlatBill notices when someone's Tuesday is blank and reminds them on your schedule. You never have to be the person who asks.
Bulk entry for the honest forgetter
Somebody will forget a whole week. Let them rebuild it in a minute instead of guessing on the invoice.
Sign in with Google
Your team signs in with the Google account they already have open. One less password to set, forget and reset — and one less thing standing between somebody and logging their morning.
What FlatBill does not do
No screenshots. No keystroke logging. No idle-time shaming. No secret activity score. FlatBill records the hours your team tells it about, and nothing else — that's not a limitation, it's the reason they'll keep using it.
02 · REPORTS & INSIGHT
Find the leak while it's still a drip
FlatBill updates every budget the moment someone logs an hour. You see the overrun forming instead of discovering it in the month-end close.
Live budgets
Every tracked hour redraws the budget. Cross the line you set and FlatBill tells you that day, not on the 30th.
Three states, one screen
Every project is on track, needs invoicing, or bleeding. Start the week by clearing bucket two and fixing bucket three.
Cost vs. bill rate
Set an internal cost per person and see what a project actually earned — so profit is a number, not a feeling.
The unbilled pile
One report showing every hour and expense approved but never invoiced. Usually the most expensive screen in the product.
Capacity at a glance
See who's carrying three projects and who's carrying half of one — before the one carrying three tells you the hard way.
Reports that arrive on their own
Build a view with the filters you care about; it lands in your inbox every Monday. Plus a full activity log with every edit, name and timestamp.
03 · INVOICING & PAYMENTS
The invoice is already written. You just have to send it.
FlatBill builds the invoice out of hours and expenses your team already tracked and a manager already approved. You review it, you send it, and the client opens it on a link without an account.
Invoices from approved time
Pick a client and a date range; FlatBill assembles every uninvoiced hour and expense into a draft. No re-keying, no arithmetic, no "did we bill for that?"
Your rate structure, not a rounded version of it
Different rates by person, role, project and client. Fixed fee, time-and-materials and monthly retainer live side by side — and raising a rate never rewrites last quarter's invoices.
A link, not a login
The invoice goes out by email with the PDF attached and a link that opens in any browser. No account to create, no password to reset, nothing for your client to sign up for.
Reminders you don't have to send
FlatBill chases the overdue invoice on your schedule, in a tone you choose. You keep the client relationship; the software does the asking.
Your numbers, on your terms
Everything exports to CSV, and a REST API and webhooks are there when you would rather the numbers moved on their own. Your data does not live behind a wall in here.
Every line traces back
Each line on the invoice knows which tracked hours and which approved expenses it came from. When a client asks what something was for, the answer is one click away, not an afternoon.
04 · EXPENSES & RECEIPTS
The receipt in your glovebox is worth money
Photograph it at the counter, mark it billable, assign it to a project. It lands on the next invoice — receipt image included — without anyone re-typing a number.
- Billable or ours — one toggle decides whether a cost reaches the client or stays internal.
- Mileage, parts, subscriptions and licenses, tracked against the project that caused them.
- Approved the same way hours are, so nothing surprising reaches a client.
For the person who spent the money: photograph it once, forget it, get reimbursed on the next run.
For the person who runs the books: no chasing paper, no month-end archaeology, every cost already tied to a project.
Switching costs less than staying
Bring your clients, projects, and time history with you — we'll help you move it, free, before you pay for anything. Year-over-year reporting still works on Monday, and every record leaves again as CSV whenever you want it.
WHY WE BUILT IT
We built this because we needed it
FlatBill started as an internal tool at a managed services company that had been billing clients out of someone else's software for years — until the price went up and the math stopped working. So we built the billing system we actually wanted: hours in, invoices out, no modules, no implementation, no surprises on the bill.
We still run our own business on it. Every invoice we send is a FlatBill invoice — and when you write in, a human answers, usually the person who wrote the code.
No surprises on your bill either
That would be a bad look for a billing system. One price per person, every feature included, no tier you have to upgrade into to get invoicing. No setup fee, no implementation package, no annual contract.
